Automated Vessel Reports: Daily, Weekly or Monthly PDF by Email

MANTRAZ sends automated vessel reports by email on a schedule you set for each vessel: daily, weekly or monthly, at the hour you choose. The PDF covers the summary, vessel tracking and main and auxiliary engine fuel consumption, and it arrives without anyone having to log in. It is for owners, fleet managers and anyone else who needs a regular view of a vessel without opening a dashboard.

Reports that depend on someone remembering

Regular vessel reports tend to rely on one person. Someone logs in, pulls the numbers, formats them and sends them out. When that person is busy, travelling or on leave, the report is late or does not go out at all, and the people who rely on it are left asking for it.

How automated vessel reports work

For each vessel, you set:

  • the recipients, the people who should receive the report by email
  • the frequency, daily, weekly or monthly
  • the hour, in WIB, WITA or WIT

From then on, MANTRAZ emails the report on that schedule. Nobody has to log in, export anything or remember to press send.

Because the schedule is set in WIB, WITA or WIT, the report can land at the right hour for the people reading it, wherever they are in Indonesia.

What is in the PDF

Each report is a PDF with:

  • a summary for the period
  • vessel tracking
  • main engine (ME) and auxiliary engine (AE) fuel consumption

That gives recipients a view of where the vessel went and what it burned, in a format they can open, read and forward without an account.

Delivery log: know what went out

Scheduled reports are only useful if they actually arrive. The delivery log shows which reports went out, which had no data for the period and which hit an error. If someone says they did not get a report, the log shows what happened, and a report with no data points to a vessel that may need a closer look.

Who uses it

Owners and senior management use scheduled reports to keep an eye on vessels without learning a new system. Fleet managers use them as a regular check on every vessel. Office teams stop spending time assembling the same report by hand every day, week or month. Because each vessel has its own recipients and schedule, each report goes to the people who need that vessel's numbers.

The scheduled reports chapter on the MANTRAZ homepage lets you change the schedule or time zone to see when the report lands in each zone. To set up automated reports for your own vessels, contact the team for a demo.
